Background and Goals

We designed and implemented an automated CRM data pipeline by extracting Keap CRM data via API, processing it in Google BigQuery, and visualizing insights through Looker Studio dashboards. The solution uses Cloud Functions to run a daily data pipeline that ingests and transforms CRM data. We also integrated GoHighLevel data into the same reporting layer to provide unified visibility on the same users across multiple CRM platforms, enabling stakeholders to monitor data through a single organized dashboard.

Key Decisions

The client required automated reporting beyond native CRM dashboards, with data across Keap and GoHighLevel making cross-platform reporting difficult.

Pipeline

We implemented a centralized pipeline that: extracts Keap data via API; stores raw and optimized datasets in BigQuery; refreshes data daily via scheduled jobs; powers multiple Looker Studio dashboards. Flow: Extract Keap via API; transform and load into BigQuery with daily SQL; connect optimized tables to Looker Studio; combine Keap and GoHighLevel for cross-platform reporting.

Dashboards

Implementation details: Keap API integration with Cloud Functions on a daily schedule; serverless ETL with incremental updates; BigQuery SQL for normalization, relationship mapping, and calculated metrics; multiple Looker Studio dashboards for Sales & Funnel Performance and Marketing Performance; filterable by date, campaign, and lifecycle stage. GoHighLevel data standardized and aligned with Keap for a complete view of leads and opportunities.
